Verona Festival Meeting May 20th, 2008– Minutes
Verona Lions Hall ~ Minutes
Present: Linda Bates, Lynda Boulter, Maxine Brown, Ron Bruyns, Susanne
Casement, Don Coleman, Judy & Wayne Conway, Louise Day, Floyd Deyo,
Carol Anne Fazackerley, Eldon Hamilton, Debbie Lingen, Doug Lovegrove,

Acting Chair, Festival Manager, Wayne Conway welcomed the group.
Moved that the Minutes of April 15, 2008 be approved Doug Lovegrove/John
McDougall. Carried
Don Coleman distributed The Treasurer’s Report. Moved that the
Treasurer’s Report be approved. Don Coleman/Linda Bates. Carried.
Business Arising from the Minutes:
1. Recycling/Sustainability: Linda Bates reported that because the
Boys Scouts will handle this chore at the Lions Jamboree they would
not be able to do the Festival as well since it is a big undertaking
for them. She will ask Scouts Canada 35th BP Guild to see if they can
take this on. Doug Lovegrove suggested that children on the grounds
be involved in helping to pick up and Inie Platenius will work on recycling
skits that can be presented periodically from the stage. The Manager
will also contact the South Frontenac Twp Environment Committee to see
if they would like to manage recycling at the Festival. John McDougall
volunteered to write an information article to let the public know what
the Festival is doing in terms of sustainability.
2. ReGifting: Linda Bates welcomes regifting donations that can be dropped
off at her house or brought to the next meeting.
New Business:
• Events Management Report: Wayne Conway discussed this document
noting which events were still in need of chairs. He noted that both
Float Plane and Helicopter Rides were dropped as activities for this
year. There will be no “Beef on a Bun” dinner on Sunday
but the Benson Autoparts food canteen will be available to supplement
the Festival canteens.
A contract has been signed with ParTPerfect for an air castle with a
pirate theme plus an 9 hole mini golf (previous supplier is no longer
in business) to be run by The North Frontenac Jr C Flyers.
• Mascot & Handler: Wayne reported that a Mascot has been
found but we are still in need of a handler who could accompany Cameron.
Cameron’s first function will be the July 1st Harrowsmith Canada
Day parade.
• Emcees: Doug McIntyre (grounds), Inie Platenius, John McDougall
& Tom Revell (stage)
• New Attractions: covered in Wayne’s report.
• Advertising: Doug Lovegrove reported that advertising is on
schedule - he reported excellent savings by signing an exclusive contract
with the Frontenac News. Please contact Doug if your event/activity
needs advertising. Other local papers will receive press releases. He
noted that “word of mouth” is still the biggest draw to
the Festival.
• Logo: Wayne reported that the 2008 logo is on the website and
is available from him for letterhead, posters and other signage.
• Music Jam Session (Sat Aug 9): This activity is being held at
the Lions Hall. Wayne, Tom Revell and the Jam Session co-ordinator Joan
Shepherd will meet to see how this will affect the Festival entertainment
program. The Festival is suggesting that a fee of $10 be charged which
would give the Jam members a Festival registration button. Results of
the meeting will be reported to the group in June.
• Photo Contest: details are finalized and available on the Festival
website. The contest will be advertised in the paper and with posters.
There are 4 categories this year. The photo must be from Verona but
there is no timeline on it.
• Parade Traffic: was discussed. John McDougall volunteered to
check with the Pentecostal Church and the Township to see if the Parade
could end at the Church and move back onto Verona Rd by opening up the
barrier. Signs will still be used to let traffic on #38 know when the
parade will be occurring. As well it was suggested that a fire truck
be used at each end of the route to block the highway until the Parade
was finished.
Other New Business:
Ron Bruyns: reported that Carl Sole has volunteered to help with the
maze construction. As well Max Callaghan who is storing last year’s
maze will help and Frank York will oversee the construction. Wayne noted
that there is money available if the group wants to make it a permanent
construction.
Linda Bates: looking for a treasure chest for the Bog . Lynda Boulter
offered to donate one.
Deb Lingen: noted that there were patches of poison ivy along the parade
route on Verona Rd. It was noted that the township deals with noxious
plants so she volunteered to notify them.
From May Checklist:
John McDougall asked about the database use by other groups. After a
brief discussion it was suggested that new additions to the database
be asked if they wish their name be available other groups. It was recommended
that a newsletter be sent to present database entries.
Signage: village signs and updates are done. Other sign requests need
to go to Karen Kipling as soon as possible.
Sponsorship is going well and should wrap up earlier this year.
Round Table:
• Eldon Hamilton: bike prizes are ready. He will be available
to drive Cameron in the Festival Parade and needs confirmation from
Wayne re: Canada Day parade.
• Maxine Brown: asked about entertainment slots and was told that
they are all filled and the entertainment budget has been met.
• Deb Lingen: asked about logistics and was told to get her requests
to Fred Fink and student volunteer requests should be arranged via Susanne
Casement.
• Nemanja Slavic: explained how his water company worked for distributing
water at the upcoming ploughing match. They would not be able to assist
the Festival because it did not have a water source.
• Linda Bates: ribbons have been ordered.
• Frank York: tent boxes have been built; soap box ramps are under
construction; still looking for more games – Wayne noted that
ParTPerfect has a Walking the Plank board race we can rent
• Susanne Casement: has advertised for student volunteers at the
high school; may be asking for specific age groups this year.
• Doug Lovegrove: designed new survey that will focus on what
festival goers liked/ concerns and comments.
• Louise Day: will contact St. John’s Ambulance in June;
will need tent again.
• Carol Anne Fazackerley: vendor registrations are trickling in;
ads in place for the newspaper.
• Marilyn Orser: asked about possibility of bleachers at the beach;
would be a great improvement for viewing boat races; Wayne will contact
Ken Harper and Andrew Asselstine to see if it is feasible.
Motion to participate in the Canada Day Parade in Harrowsmith: Linda
Bates/John McDougall. Carried. Cameron in car with several walkers ~
assemble at 9:30 am. Walkers are needed. Please consider volunteering.
